PACKAGING YOUR PROPOSAL FOR MAXIMUM EXPOSURE
After putting in many hours designing and writing your sponsorship proposal, the next step is packaging and mailing the proposition in a professional manner. Here are a few tips that should help you get your proposal read by the right person.
 

ORGANIZE IT
Organize you proposal in an easy to read manner. Important aspects in front, secondary information in the back. Use dividers, if necessary.

After writing your proposal, ask a friend or family member to read the paper for grammar and typos.  It is a no-no and very unprofessional to send a proposal with typographical errors in it. We suggest that you have your proposal computer generated as opposed to handwritten or typed with a typewriter. Also, do not get carried away with using too many different font styles. One or two are the most is satisfactory and less confusing to the reader.

Include a cover letter, or introduction letter on your letterhead with your proposal.

Also include your business card.
 

THE PAPER
Your proposal should be printed on 24 lb, 100 brightness white paper. There are many special papers available – use them sparingly, perhaps as a second cover. Remember, don’t confuse glitz with content.
 

THE COVER
There are many different “report” covers available: clear, colored, hard, soft. Use the cover you feel appropriate for the message you’re trying to convey.  Also include a color logo or sticker on the cover, if available.
 

MAILING YOUR PROPOSAL
Do not fold your proposal. Mail it flat in a large envelope – colored if available. A colored envelope will grab attention on the desk of the marketing department. You can also use the Priority or Express envelopes provided by the US Postal Service.

Mail the proposal to the correct individual at the company in question. If necessary, contact the company for the name, department and address of the person you want to read your proposal. Don’t just send it to the company blindly.

Remember, sponsorship prospects receive a lot of proposals – you want yours read by the right individual, immediately. Good luck!
